Development and Sales of IP Fax System
Hitachi Capital Corporation and Cooh Co., Ltd. (headquartered in Minato-ku, Tokyo) have jointly developed IP Fax System, a solution for preventing erroneous facsimile transmissions.
Initially, Hitachi Information Systems, Ltd. (headquartered in Shinagawa-ku, Tokyo) will build the systems, and Hitachi Information Systems Ltd. and Cooh will handle sales.
1.What is an IP Fax System
Businesses occasionally lose their customers' trust when they erroneously transmit customer information or internal information to a wrong fax number or to a fax number that has changed due to a move. The IP Fax System was developed to prevent such erroneous transmission of confidential information from facsimile machines that are routinely used in businesses today.
The system not only prevents erroneous transmission, but allows the user to manage transmission data on who sent messages to whom, and who received messages at what time.
The system works as shown below.

2. Causes of Erroneous Transmission and Solutions
There are generally three causes of erroneous transmission.The system addresses each of these causes as described below.
- Erroneous registration of destination fax number
Upon registration, the system automatically sends to the destination fax machine a "reception confirmation sheet" and "return mail for confirmation of fax reception," which the recipient uses to confirm the reception and ensure proper registration. - Control error when selecting the recipient
Immediately before sending a fax message on PC, the sender confirms the recipient, transmitted message, etc., on the screen to prevent control errors. - Wrong fax number due to a move
By recognizing and registering the label name, which is unique to each fax machine, as the individual identification information, the system can refer to the information upon each fax transmission. If the information is different, the system suspends the fax transmission, notifies the sender that the transmission has been suspended, and prompts the sender to check with the recipient.
3.Advantages of the System
Implementation of this system provides the following advantages:
- Securely prevents information leaks through erroneous transmission
- The system does not require the recipient to purchase a new fax machine; the existing fax machine will be sufficient
- In-company facsimile using a network can reduce communication costs
- In-company facsimile using a network can be used for instant broadcasting
